Swinburne University of Technology is a globally-engaged institution leading the way in science, technology, business, design and innovation.

With three campuses in Australia and one in Malaysia the University is home to approximately 30,000 students.

Swinburne University of Technology was founded in 1908 as the Eastern Suburbs Technical College by George Swinburne in order to serve those without access to further education in Melbourne’s eastern suburbs. On 1 July 1992 Swinburne officially became a university with the passage of the Swinburne University of Technology Act.

Recently, Swinburne has again been recognised as having one of the best design schools in the world by the 2016 QS World University Rankings by Subject.

Business Challenge

The University recognised the following challenges as positive outcomes which had to be achieved in order to ensure a robust Business Continuity Management program:

  • Disruptions, emergencies and serious incidents to be effectively dealt with
  • The impact on staff, students and the community to be minimised
  • Critical functions maintained or restored in a timely manner
  • The University is able to continue to operate and recover.

At Swinburne Business Continuity Management is planned in a manner consistent with the University’s Risk Management Framework.

After defining an end state the University went to market to procure a software solution that would support them in the journey to this vision and beyond.

 

Solution

Swinburne University of Technology purchased the Business Continuity Module from PAN Software’s RiskW are product to enable the development, maintenance and testing of BIA’s, BCP’s, and Crisis Management Plans.

Results

Swinburne University of Technology now has an integrated Business Continuity Management tool that is available on call, anywhere, anytime.

In addition the system provides:  

  • Provision of real-time information and comprehensive reporting tools
  • Intuitive graphical reporting to highlight critical resources and single points of failure
  • The pocket BCPTM App allowing users to activate and access plans on a mobile device.
  • Increase in business buy in and participation due to the ease of use
  • Automated notifications to stakeholders and responsible parties
  • Escalation of responsibilities

Data from RiskWare allows the University BC Coordinators to analyse resource requirements and identify gaps. This in turn allows for informed decision making and resource allocation to ensure that the University is well prepared for the unexpected.
